We will collect personal information about all persons travelling within a group (1 or more people). If you are booking or making an enquiry on behalf of someone else you must have their consent to allow us to collect and use their personal information in the ways described in this Privacy Policy. As such you should draw their attention to this Privacy Policy prior to submitting their personal information.


To provide our products and services to you, we may need to collect information regarded as “Special Categories of Personal Data”. We only collect this information where you have given your explicit consent or where it is necessary to meet your requirements. Where the Special Categories of Personal Data are relevant to the provision of goods and services (for example, food allergies), we will need to provide that information to our service providers (for example airlines, hotels).

We will share your personal information with the following categories of third parties:


If you have purchased services from us we will need to give your personal information to the governing bodies or event organisers to provide you with the products and services you requested. This will be dependent on which product and service you purchase but may include: the RFU, any host unions and/or organising committees. This is primarily for ticket and event management purposes.


All of the travel and accommodation services in our products and services are provided by third parties. We will pass your personal information to these providers solely for the purpose of providing you with the services which you have purchased. We will need to do this to provide you with the goods and services you have purchased.

If you purchase flights from us, we (or the airlines) may be required to provide your personal information to airport service providers at the airports that you are flying to or from. We will provide such airport with your personal information to the extent required to deliver the services and to comply with any laws or regulations.

If you sign up to marketing communications directly with any travel service or accommodation provider whilst using their services, then their use of your personal information shall be subject to their privacy policies. These are normally accessible on the providers website under ‘privacy policy’, often found in the footer of the website. If you have provided your consent to them and wish to withdraw, you should contact them directly.


We use a variety of third party service providers when delivering our products and services to you. These third parties will include venues, excursion providers, merchandise suppliers, delivery partners, fulfilment warehouses, caterers and others (each a “Third Party Provider”). Where an element of the services that you have purchased from us include services delivered by a Third Party Provider we may be required to provide that Third Party Provider with your personal information. We will only pass your personal information to the Third Party Provider to the extent required to provide the services to you and ask them only to act in accordance with this Privacy Policy and/or our agreements with them.


To operate our business we use a variety of systems and services, these include sales management systems, email management and marketing services, booking systems and client management tools. We use these systems so that our business can operate smoothly and efficiently. Where required we will enter your personal information into these systems and services so as to be able to provide you the services and products that you have purchased and to manage your information as a customer or as someone who wishes to receive marketing communications from us. When processing a transaction for the purchase of services we will need to send your personal information to credit and debit card companies as well as our payment processing provider, Secure Trading. Where you have provided consent for us to provide your personal information to the commercial sponsors of the RFU and/or any host unions and/or an event organiser, for the purpose of receiving marketing communications from these commercial partners, sponsors and event organisers, you agree for us to do so and transfer your personal information to them. If you wish to unsubscribe from any marketing communications from a commercial partner or sponsor of the RFU, a host union or an event organiser you can do so at any time by contacting that commercial partner or sponsor directly. 


We operate within the travel industry and are regulated by the Civil Aviation Authority (CAA) and ABTA. Should these bodies or any other regulatory body require us to provide your personal information to them for any reason then we shall be obliged to do so. We will only provide them with the personal information that they request for the purposes they require.

In the event of our insolvency we, or any appointed insolvency practitioner, may disclose your personal information to the CAA, and/or ABTA so that they can assess the status of your booking and advised you on the appropriate course of action under any scheme of financial protection. We may be required to provide details to our insurers in line with our contract of insurance. We will only provide them with the personal information that they request for the purposes they require, which will be limited to performing their obligations under the contract of insurance.


In order for you to travel overseas, we may be required to disclose your personal information to government bodies or other authorities in the UK and in other countries, such as those responsible for immigration, border control, security and anti-terrorism. Even if it is not mandatory for us to provide your personal information to such authorities, we may exercise our discretion to assist them where appropriate.
